TERMS OF SERVICE

Rescheduling & Cancellation Policy

24-Hour Notice Requirement

Clients are kindly requested to provide at least 24 hours' notice for any appointment cancellations or rescheduling. This allows The Wax Beautique to offer availability to other clients and maintain optimal scheduling.

Late Cancellations or Rescheduling

Cancellations made less than 24 hours before the scheduled appointment will incur a fee equal to 50% of the total service cost. 

No-Show Policy

Clients who fail to show up for their appointment without prior notice will be charged 100% of the service cost.

Late Arrivals/Grace Period

Clients arriving more than 5 minutes late may have their appointment shortened or rescheduled, depending on the Waxbeautique schedule. 

Emergency Situations

The salon understands that emergencies can occur for the client. In genuine cases of unforeseen circumstances, cancellation or no-show fees may be waived at The Wax Beautique discretion.  

Payment & Booking Policies

Credit Card on File

A valid credit card is required to secure all appointments, with a non-refundable deposit. Charges related to late cancellations or no-shows will be applied to this card. 

Online Booking Management

Clients can manage their appointments, including cancellations and rescheduling, through the salon's online booking system up to 24 hours before the scheduled time

Communication & Reminders

Appointment Reminders

Automated reminders will be sent via text or email 24-48 hours before the scheduled appointment.

Accepted Communication Channels

All appointment changes must be communicated through the salon's official phone line or online booking system. Messages sent via social media or personal contacts are not considered valid for appointment changes. 

 Repeat Offenses

Policy for Repeated No-Shows or Late Cancellations

Clients with multiple instances of no-shows or late cancellations may be required to prepay for future services or may be restricted from booking future appointments. Implementing this policy framework helps ensure that the salon operates smoothly while respecting both the clients' time and the professionals' schedules.

No Children Policy

To ensure a safe, peaceful, and professional experience for all of our clients, we ask that children do not accompany clients during waxing appointments. Our policy is designed to:

  1. Create a Relaxed and Calm Environment: Waxing services require full attention and focus. We aim to maintain a quiet, serene space for the comfort of all our clients. The presence of children can sometimes create distractions that affect the quality of service and experience.
     

  2. Safety and Comfort: Our services and treatments are best suited for adults and may not be appropriate or comfortable for children. In addition, some products and equipment used in the salon may not be safe for minors.
     

  3. Professional Standards: In order to maintain a high level of professionalism and provide the best possible service, we request that clients come alone for their appointment. This allows our estheticians to focus fully on the client’s needs.
     

  4. Exceptions: If you need to bring a child, please contact us ahead of time to discuss potential accommodations. In most cases, we will suggest rescheduling your appointment for a time when you can be without children.

Menstrual Cycle Policy 

At The Waxbeautique, we prioritize the health, hygiene, and comfort of all clients and staff. To ensure a safe and professional waxing experience, we have the following guidelines regarding appointments during the menstrual cycle:

Client Guidelines:

• Appointments During Menstruation:

• You may still book or attend your waxing appointment while on your period. However, for intimate waxing ( Bikini, Brazilian), we kindly ask that you:

• Wear a fresh tampon or menstrual cup before your appointment.

• Inform your therapist beforehand so they can ensure extra precautions and comfort.

• Increased Sensitivity:  Please be aware that you may experience heightened sensitivity and discomfort during waxing while menstruating or in the days leading up to your period.

• Rescheduling Option:

• If you’re uncomfortable attending your appointment while on your period, we offer flexible rescheduling with at least 24 hours' notice.

Hygiene and Safety:

• All treatment areas are thoroughly sanitized before and after each client.

• Therapists wear gloves and follow strict hygiene protocols at all times.

Appointment Cancellations:

• Last-minute cancellations due to menstruation will be treated as regular cancellations and may incur a fee unless due notice is given (see cancellation policy).

Abuse Prevention Policy

1. Purpose

To ensure a safe, respectful, and professional environment free from harassment, abuse, or misconduct for all clients and staff members.

 

2. Scope

This policy applies to:

  • All employees, contractors, and trainees.

  • All clients, visitors, and vendors interacting with the salon.

 

3. Zero Tolerance Statement

The salon maintains a zero-tolerance policy toward any form of abuse, harassment, exploitation, or boundary violations — physical, verbal, sexual, or emotional — whether by staff or clients.

 

4. Definitions of Prohibited Behavior

  • Verbal Abuse: Yelling, swearing, degrading language, threats.

  • Sexual Harassment: Unwanted sexual comments, advances, innuendos, or physical contact.

  • Physical Abuse: Hitting, inappropriate touching, intimidation.

  • Boundary Violations: Asking staff to perform inappropriate services or ignoring privacy procedures. Touching staff without their consent

  • Digital Harassment: Inappropriate DMs, texts, or social media behavior.

 

5. Staff Responsibilities

  • Maintain professional boundaries at all times.

  • Never perform services beyond the scope of practice or client consent.

  • Immediately report any inappropriate behavior by clients or co-workers.

  • Refuse service if a client is aggressive, threatening, or sexually inappropriate.

  • Follow hygiene and privacy protocols strictly (e.g., providing drapes, explaining steps clearly).

 

6. Client Responsibilities

  • Treat staff and other clients respectfully.

  • Refrain from inappropriate language, comments, or behavior.

  • Follow salon policies and procedures, including regarding nudity and communication during services.

 

7. Response Protocol

  • Immediate Action: Any incident of abuse or harassment must be addressed immediately by calmly stopping the service and involving a manager.

  • Documentation: All incidents are to be documented with date, time, persons involved, and nature of the offense.

  • Follow-Up: Offending clients may be permanently banned. Legal authorities may be contacted if necessary.

 

8. Reporting Mechanism

  • Staff should report abuse to the manager or owner directly and confidentially.

  • Clients may report concerns via email, phone, or an anonymous feedback form.

  • Retaliation for reporting is strictly prohibited.

 

9. Training

  • All staff must undergo training on professional boundaries, abuse prevention, and reporting procedures during onboarding and annually thereafter.

 

10. Policy Review

  • This policy will be reviewed and updated annually or when laws/regulations change.
